Specialized AI agents designed to handle specific tasks are beginning to deliver measurable gains in real estate operations, from insurance claim assessments to repair job coordination. Early deployments show significant time savings and reduced error rates, signaling a shift toward domain-specific automation in property management. 

In real estate and property maintenance sectors, routine tasks like insurance claims processing or job scoping used to take hours, if not days, and involved manual diagnostics and back-and-forth communication. AI-powered agents are now taking over key steps in these workflows. Processing structured data and visual inputs in real time helps eliminate delays, minimize human error, and unlock faster, more coordinated service delivery. 

These improvements mark a broader shift: practical AI tools designed to handle specific tasks are starting to play a regular role in day-to-day business operations. It is predicted that by 2028, around one-third of generative AI interactions will involve autonomous agents acting on users’ behalf to complete specific tasks. In the real estate and property maintenance sector, AI agents are now embedded in daily tools, automating key points in the service chain, from tenant requests to technical scoping and price estimates.

According to Šimaitis, real estate and insurance workflows continue to face pressure from fragmented data systems, inconsistent processes, and time-intensive decision chains. Common bottlenecks include claims registration, service booking, and diagnostics delays, often driven by manual coordination and disconnected communication tools. A layered approach to automation can address these structural issues.

”A unified data layer is foundational,” says Šimaitis. “When real-time diagnostics, service history, and user input are consolidated in one place, it becomes possible to coordinate tasks more efficiently and reduce the inconsistencies that slow down decision-making. By integrating real-time data, tailoring language models to specific domains, and allowing agents to collaborate flexibly, we are not replacing human oversight, but helping decision-makers act faster and with greater context.” 

With the adoption of AI agents, insurance claim evaluation is one area that is seeing a sharp drop in time and labor requirements. Previously, these assessments required manual coordination across teams, multiple site visits, and hours of work to compile evidence and reach a decision. Now, structured data and image-based inputs allow AI agents to deliver the same outcomes in a fraction of the time, cutting total processing time from hours to minutes. Additionally, AI-powered repair service agents interpret and organize tenant requests more accurately, cutting job cancellations caused by miscommunication. According to the data of PortalPRO, since implementation, the cancellation rate has dropped from 50% to approximately 25%, effectively doubling the efficiency of service providers. 

Other AI agents are streamlining specific friction points: scope detection tools instantly extract technical details from user inputs, eliminating the need for preliminary calls or on-site assessments. Price estimation agents generate quotes in under a minute, compared to the traditional 2–3 day turnaround. In most cases, these agents do not interact directly with end-users. Instead, they work behind the scenes in customer portals, technician apps, and partner systems, generating structured data that drives faster decisions. 

More Than Efficiency: Reducing Repetition and Friction

Šimaitis emphasizes that the agents are not replacing expert roles, but are reducing operational drag by handling low-risk, repetitive tasks. That means fewer delays, fewer clarifying messages, and more consistent data flow. “There has been much noise around general-purpose AI,” says Šimaitis. “We see that narrow, well-trained agents, integrated into existing workflows, can solve real bottlenecks without overpromising. That is where the impact is today.” 

The expert adds that speed is only one part of the equation. “Automation is not just about efficiency. It is about removing repetition, so a person does not need to describe the same problem five different ways or wait days for a routine reply.” 

While public discussions around AI often center on long-term ambitions, the more immediate impact lies in focused, domain-specific tools. In real estate, these systems are already being used to streamline routine processes and support faster, more consistent decision-making. In addition, if developed with human oversight and clear scope, targeted automation can help industries like real estate operate with less friction and greater responsiveness.
